Job Summary:
The Admin Supervisor is responsible for overseeing and coordinating administrative operations to ensure smooth functioning of office activities. This includes managing petty cash, fixed assets, office facilities, legal documentation, and supporting company projects and events. The role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks efficiently.
Key Responsibilities:
1. Petty Cash Management
- Review and process daily petty cash requests.
- Purchase office furniture and supplies as needed.
- Post purchase orders and report to Finance.
- Ensure timely petty cash replenishment and payments to suppliers.
- Monitor and resolve issues related to petty cash transactions.
2. Fixed Asset Management
- Maintain accurate asset records and perform asset write-offs when necessary.
- Coordinate asset sales, proposals, and bidding processes.
- Manage asset transfers and returns from owners.
- Conduct asset counting twice per year.
- Address and resolve issues related to asset management.
3. Office Management, Security, Cleaning, and Stock Control
- Supervise daily cleaning and security operations.
- Schedule and monitor office maintenance and renovation activities.
- Source and manage security services and staff accommodation.
- Ensure proper stock control and office supplies availability.
4. Legal, Contract, and Renewal Items Preparation and Management
- Handle all types of registrations for stations (MoC, MME, GTD).
- Manage contracts and rental agreements for office, station, vehicles, seals, systems, and insurance.
- Respond to local authorities regarding charity and legal matters.
- Organize and maintain SharePoint folders for legal documentation.
5. Document, Project, Events, and Ad-hoc Tasks
- Manage incoming and outgoing correspondence.
- Coordinate company events, including payments and logistics (approx. 10 events per year).
- Assist with station openings and other ad-hoc projects.
- Retrieve and organize old documents for management as needed.
Qualifications and Experience:
- Education: Bachelor’s degree in business administration, Management, or related field.
- Experience: Minimum 3–5 years of experience in administrative supervision or office management.
- Skills:
- Strong organizational and multitasking abilities.
- Knowledge of petty cash handling and asset management.
- Familiarity with legal documentation and contract management.
- Proficiency in Microsoft Office and SharePoint.
- Excellent communication and interpersonal skills.
- Language: Proficiency in English and Khmer (both written and spoken).
